Schedule a Follow-Up

1. How do I schedule a follow-up?

Scheduling the follow-up

  1. Click the Follow Up action tool icon from any application to open the Schedule Follow-Up popup.

  2. Once all required fields are populated with valid data, click Update to create the follow-up.

Each time a follow-up is created, existing follow-ups for the selected date are displayed in the table at the bottom of the popup. The following fields appear in the Schedule Follow-Up popup:

  • Follow-up Type

    • Call

    • Email

    • Other

    • SMS

  • Reminders

    • You must select a reminder duration before the scheduled follow-up from the following options:

      • 1 min

      • 5 min

      • 10 min

      • 15 min

    • A reminder popup will notify you before the scheduled follow-up is coming and indicate the time left for the follow-up appointment. See the Reminder article for more details.

  • Date and Time

    • Select the date and time when the follow-up will be executed.

    • A follow-up can only be scheduled for a future date/time. All past dates are disabled.

Notes

  • Notes are optional for a follow-up.

  • The maximum allowed character length of the Note field is 2000.

Add to Calendar

  • This feature allows you to download the follow-up appointment and add it to your personal calendar.

  • The follow-up schedule file is automatically downloaded.

  • When opened, the file will automatically be connected to your personal email calendar.

Subject

  • The subject title of the follow-up reminder is shown on your personal email calendar.

  • This is an optional field.

2. Can I create, edit, view, and complete follow-ups for other users?

The system allows users to create, edit, view, and complete follow-ups for others. The permissions are based on branch and role. Users can also edit follow-ups from the calendar. Changes are tracked in Lead History.

Users must contact Insellerate Support to enable the permissions for this feature.

3. What are closed follow-ups?

This requires the Closed Follow-Up permission. See the Permissions Master Document for more details.

If a follow-up is being created for an application that is currently in Open Leads, the application will be temporarily removed from the Open Leads Queue.

  • The application will be put back into the Open Leads Queue one business day after the follow-up time has passed.

  • If the follow-up is deleted, the application will be put back into the Open Leads Queue immediately.
