Overview

The Bulk Upload feature may be used to add retail and TPO partners to Insellerate. The directions below can be applied to TPO, but are focused on uploaded retail partners: realtors, referral partners, and other partner types.

Users must contact Insellerate Support to enable the permissions for this feature. Users can upload a CSV file containing all of the information on their partner and the agent with whom they work. View and download templates.

This article describes the three steps to perform bulk uploads for partners:

to Determine Which Bulk Upload Template to Use

The Bulk Upload Template that you use is determined by whether or not the partner is associated with an existing company or branch.

Info

Finding an existing branch to associate to the partner helps with signature blocks and connecting existing branch logos and information to the partner. This is recommended if all of the partners you are uploading are part of the same branch/company.

Search for an Existing Company or Branch

  1. Go to the global search in the main menu bar.

  2. Click the box for Partners from the dropdown options.

  3. Enter the company name. In this example, we are searching for the company called Acme.

  4. Results will show if the company exists in Insellerate. You can use a partial name in the search to increase the results. The results will also include the branch name.

There is NO Existing Company or Branch

If no match is found, or if you have already confirmed that a company or branch does not exist for the partner, continue to the next step: How to Complete the Partner Bulk Upload Template.

There IS an Existing Company or Branch

If a match is found, copy the branch name and enter it in the file in the Branch_Name column when you complete the Partner Bulk Upload Template.

How to Complete the Partner Bulk Upload Template

The Partner Bulk Upload Template is an Excel file. Once you have entered all of your partner information into the template, you will save and upload the template as a CSV file.

  1. Download the Partner Bulk Upload Template. The template you use depends on whether there is an existing company or branch associated to the realtor or if it is new.

  2. Complete, at a minimum, all the REQUIRED fields in the template. Add additional information as needed.

  3. Save the template as a CSV file.

How to Bulk Upload Partners

  1. Navigate to inFlow.

  2. Select Partner from the Workflow Type dropdown menu to open the Partner Registration screen.

  3. Click Add a New Partner to open the Partner Registration window in the Record List Panel. This step is only necessary if you are viewing another record.

  4. Click Bulk Upload.

  5. The Partner Bulk Upload/Add New Partners screen opens.

  6. Select the partner campaign you would like the upload to be associated to from the Default Campaign to associate the uploaded partnersdropdown list. (Review the Creating Campaigns for Partner Association article for more information on how to set up campaigns for partners.)

  7. Select the assignee from the Default Assignee from the dropdown list. This field should default to you. If loan officers should be assigned to someone else, change this field to that user.

  8. Select the branch (or All)from the Insellerate System Branch Associationfor dropdown list to allow users to view the uploaded partner leads. The branch associations will determine the visibility to the partners.

  9. Select the type of partner who can view the uploaded partner leads from the Partner Type for the uploaded partners dropdown list.

  10. The Initial Status field is a view-only field that displays the initial status of the uploaded partner. This is set when Creating Campaigns for Partner Association.

  11. The Initial Activity field is a view-only field that displays the initial activity of the uploaded partner. This is set when Creating Campaigns for Partner Association.

  12. Add the completed Partner Bulk Upload Template (saved as the CSV template file) to the Data Upload section. There are two options to upload the Bulk Partner Upload Templatefile.

    • Drag and drop the file in the Data Upload section.

    • Click in the Data Upload section to access File Explorer to select the file for upload.

  13. Click the Bulk Upload button to add and upload your partners.

How to Create a Partner Bulk Upload CSV File

  1. Download the Partner Bulk Upload CSV template.

  2. Complete all of the applicable fields in the template.

Field Explanations in Order of the Report Columns

External ContactTypeID is the partner type. If this filed is blank, it will default to the referral partner.

  • FirstName (Required Field)

    • Enter the partner’s first name.

  • LastName (Required Field)

    • Enter the partner’s last name.

  • Email (Required Field)

    • Enter the partner’s email.

Warning: If you do not enter a parter email in any row, the entire upload will fail.

  • MobilePhone

    • Enter the partner’s mobile phone number.

  • WorkPhone

    • Enter the partner’s work phone number.

  • Ext

    • Enter a work extension number, if applicable.

  • Website

    • Enter the website for the partner.

  • City

    • Enter the city for the partner.

  • State

    • Enter the state for the partner.

  • AssignToUserID

    • Leave this field blank if using AssignToUserID.

    • This is the assignee associated with the partner.

    • If it is not entered or the system does not find an exact match, it will default to the Default Assignee selected on the Partner Bulk Upload screen.

  • AssignToEmail

    • Leave this field blank if using AssignTo.

    • This is the assignee email address associated with the Partner.

    • If it is not entered or the system does not find an exact match, it will default to the Default Assignee email from the selection on the Partner Bulk Upload screen.

  • Address1

    • Enter the address for the partner.

  • PostalCode

    • Enter the postal code for the partner.

  • UserTitle

    • Enter the professional title for your partner, if applicable.

  • ApprovalStatusID

    • Can be used to define the partner’s status.

Duplicate Check Logic

When a new partner is uploaded, the system will check both the email address and the LicenseID field. If a duplicate is found, the partner will not upload to Insellerate.

Check the system or ask your manager to see who currently owns the partner and see if reassigning the partner is an option.

You can download the Fail Report to see why a partner did not upload by navigating to inFlow > Partner Uploads.
