Batch Actions

Description

This article describes the Batch Actions function in My Pipeline. Batch Actions allows a user to make the same changes to multiple applications at the same time. These include changes to field updates, status/activity, and the primary agent. The following topics are covered:

Permission is required to use the Batch Actions feature.


Instructions

  1. Select My Pipeline from the inSight dropdown list.

  2. Run the desired report. See the How to Run a Report in My Pipeline article for details.

  3. Filter the data in the report as desired. Filters can include any data set such as names, dates, times, etc. In this example, we are filtering the report results by the Primary Officer, Jack Branch2.

     

  4. Click Batch Actions. Note that the report results have been successfully filtered down to Primary Officer, Jack Branch2.

     

  5. The Batch Actions button offers three options: Field Updates, Status-Activity, and Primary Agent.


Batch Actions — Field Updates

Users may update the applications with up to five updates to selected fields using the Batch Actions — Field Updates option.

  1. Select Field Updates from the Batch Actions dropdown menu.

     

  2. The Batch Application Update popup window opens.

     

  3. Click the Select Field dropdown menu to choose the fields to be updated.
    The number of applications that will be updated is noted in orange.

     

  4. In this example, we have selected Current Value as a field to update. When selected, a second field appears providing a place to add the data for the selected field.

     

     

  5. Click the + icon to add an additional field.

     

  6. In this example, we have added updating the Residence Type field to Primary.
    Up to five fields can be updated. To remove a field, click the - icon.

     

  7. Click Create Task to make the updates.

     

  8. The Batch Application Update Confirmation popup window opens. The window shows which fields are being updated and the data selected for the updates. Click Create Task to confirm the updates.

     

  9. A green toaster appears at the top right of the screen to confirm that the update has been created.

     

  10. A second green toaster appears at the top right of the screen to confirm that the update has been completed. The user will also receive email confirmation.

     

  11. Click Task View All to view the completed task.


Batch Actions — Status-Activity

Users can change the status and activity of applications using the Batch Actions — Status-Activity option.

  1. Select Status-Activity from the Batch Actions dropdown menu.

     

  2. The Batch Status Activity Update popup window opens.

    The number of applications that will be updated is noted in orange.

     

  3. Select a status from the Status dropdown options.

     

  4. Select an activity from the Activity dropdown options.

     

  5. Click Create Task.

     

  6. A green toaster appears at the top right of the screen to confirm that the update has been created.

     

  7. A second green toaster appears at the top right of the screen to confirm that the update has been completed. The user will also receive email confirmation.

     

  8. Click Task View All to view the completed task.


Batch Actions — Primary Agent

Users can change the primary agent listed in applications using the Batch Actions — Primary Agent option.

  1. Select Primary Agent from the Batch Actions dropdown menu.

     

  2. The Batch User Update popup window opens.
    The number of applications that will be updated is noted in orange.

     

  3. Select a new primary agent for the applications from Primary Agent dropdown options.

     

  4. Click Create Task.

     

  5. A green toaster appears at the top right of the screen to confirm that the update has been created.

     

  6. A second green toaster appears at the top right of the screen to confirm that the update has been completed. The user will also receive email confirmation.

     

  7. Click Task View All to view the completed task.


Task View All

Users can click the Task View All button to view all completed tasks. The most recently completed task is listed at the top. This example shows the Task View All data for the Batch Actions - Field Updates example above. Clicking the Task View All button when completing Batch Actions- Status/Activity and Batch Actions - Primary Agent options provides the same information.

Steps

  1. Click Task View All.

     

  2. The Bulk Tasks View popup window opens.

     

  3. Users can view the task name, type, status, total number of applications affected by the task, total number of applications tasks, the start and end date of the task.

     

     

  4. Click View Apps to see a list of applications affected by the batch action.

  5. The Task Details popup window opens.

     

  6. For each application affected by the batch action, users can view the application ID, lead name, data before the change, data after the change, the success status of the change, and any messages.

     

  7. To view a specific application, click the application. The selected application opens in the Record Details Panel of inFlow.
